SMS and the sales pipeline

When a customer calls a business and nobody picks up, most of them won't leave a voicemail. They hang up and call the next business on the list. I built this automation so that a missed call becomes the start of a conversation instead of a lost customer.

The problem

Service businesses miss calls all the time. The owner is on a job, the line is busy or the call comes in after hours. Every one of those callers was ready to talk, and many of them never try again.

For a business that pays for ads to make the phone ring, a missed call is also wasted ad spend.

What I built

  • A trigger that watches call details and starts the workflow whenever a call comes back as busy or unanswered.
  • A short wait step, so the text arrives a moment after the missed call and feels personal rather than robotic.
  • An automatic SMS to the caller, letting them know the business saw the call and inviting them to reply with what they need.
  • A step that creates or updates an opportunity in the GoHighLevel pipeline, so the caller is tracked as a lead and the team can follow up.

What it does for the business

Every missed call now gets a fast reply, even when nobody is free to answer the phone. Callers can carry on the conversation by text, and none of them fall through the cracks because each one lands in the pipeline automatically.

It pairs naturally with paid ads. The calls an ad brings in are no longer lost just because the timing was wrong.
